Responsibilities

  • Manage personal and business appointments and meetings for the executive team;
  • Organization and preparation of documentation for meetings;
  • Office management, including handling of expense reports, adjusting schedules, maintaining master schedules, and booking travel arrangements;
  • Manage HR documentation, memos and employee files;
  • Manage and maintain files in an orderly manner including accurately documenting data;
  • Greeting visitors, answering the phone, and distributing mail to the proper departments/clients;
  • Prepare, revise and proofread correspondence, memos, and administrative documents in both english and french;
  • Preparing quotes, sending invoices, and collecting receipts;
  • Manage the organization of events and establish relationships and partnerships with internal and external parties;
  • Maintain supplies inventory, place orders, run errands and deal with vendors.

Requirements

  • College diploma ;
  • 5-7 years of experience in high-level administration;
  • Perfectly bilingual in French and English (oral and written);
  • Advanced skills in Microsoft Office, knowledge of SAP (asset) and Google workspace;
  • Valid drivers’ license.
